Court Bailiff Job Summary
The Billings Municipal Court Bailiff is responsible for performing a variety of duties involved in establishing and maintaining the court calendar; preparing and processing necessary materials and documents; and providing for the safety and security of the Billings City Court Judge and courtroom. Providing a variety of clerical support as needed and the ability to multi-task.
Scope of Responsibility: Incumbent is able to work independently and exercise judgment and initiative. Incumbent receives only occasional instruction or assistance as new or unusual situations arise, and is fully aware of the operating procedures and policies of being a court bailiff in the Billings Municipal Court.
Incumbent also regularly interacts with other members of the department and with the public and has the ability to engender trust by showing sensitivity to diverse socio-economic and cultural backgrounds.
Essential Duties and Responsibilities
Courtroom Security and Order Opens and closes court; announces entry of judge; maintains order in the courtroom; escorts witnesses into courtroom; responsible for checking-in/seating defendants. The Court Bailiff ensures safety and security of judge; ensures safety of witnesses and others in the courtroom.
Courtroom Clerical Types scheduling orders and manages case flow. Sets bonds using established guidelines.
Collects fines and bail money. Controls and maintains the court record. Prepares Criminal Legal Documents and Maintains Records Receives, compiles, prepares, assembles, organizes, and delivers information, documents, and reports on cases coming before the court; provides information to parties involved.
Tracks defendants through the court process; assumes responsibility for the compilation of correct and pertinent information regarding defendant involvement in prior and current judicial proceedings; obtains prior record information.
The Billings Municipal Court Bailiff oversees prisoners and defendants Coordinates with jail personnel regarding prisoners; escorts defendants to court offices; assumes responsibility for the proper handling of mail for prisoners; completes all documents necessary for prisoner’s release. Customer Services Serves as a resource regarding court policies, procedures, objectives, and operational functions; answers questions and provides information; resolves complaints and refers customers to appropriate source as necessary. Performs records searches.
A Court Bailiff performs Other Duties as Assigned Qualifications and Skills Required Qualifications and Skills: High school diploma or GED Two (2) years of clerical and customer service experience Must have the ability to operate personal computers and advanced proficiency with Microsoft Office, or equivalent.
Must be able to pass a Federal and State criminal background check Preferred Qualifications and Skills: Court or legal experience to work in the Yellowstone County court system.
Must be able to pass a pre-employment drug test. Physical Demands and Working Conditions Requires heavy physical effort, moving over 60 pounds, on an intermittent basis (less than 15% of the time). Requires high attention to detail or deadlines on a continuous basis (over 70% of the time).
Requires long periods of standing (over 70% of the time. Work requires exposure to disagreeable elements, at least one of which is intense, on an intermittent basis (less than 15% of the time).
